Work Order Authorization

 

Vendors are authorized to perform only the work specifically approved by Property Management. Vendors are responsible for reviewing the work order and understanding the approved scope before beginning any work.


Scope of Work 


  • Vendors must not perform work outside the approved scope without prior written authorization.
  • Additional repairs, materials, labor, services, or change orders must be approved in writing before the additional work is performed.
  • Vendors must not assume that additional work is approved simply because it appears necessary or is related to the original repair.
  • If additional work is needed, the vendor must contact Property Management and provide a description of the work, reason for the repair, estimated cost, and supporting photos or documentation when applicable.


Written Authorization 


Verbal conversations, phone calls, text messages, or informal requests do not constitute authorization unless confirmed in writing by an authorized Property Management representative.


Vendors must not exceed an approved estimate or spending limit without obtaining additional written approval. If the expected cost will exceed the approved amount, the vendor must contact Property Management before incurring additional expenses.


Emergency Work 


If an emergency requires immediate action to prevent significant property damage or address an immediate health or safety concern, vendors may take reasonable steps to stabilize the situation. Property Management should be contacted as soon as reasonably possible, and the vendor must provide documentation of the emergency and work performed.


Emergency authorization does not automatically approve unrelated repairs, upgrades, or improvements.


Billing and Payment 


Vendors must invoice only for authorized work that has been completed. Invoices should clearly identify the work performed and any approved additional work.


Unauthorized work or charges may be rejected and may not be eligible for payment.

When in doubt, stop and contact Property Management before proceeding with additional work.
