Vendor Communication
Clear, timely, and professional communication is essential to keeping work orders on schedule and ensuring that tenants, homeowners, and Property Management are properly informed.
Vendors are expected to promptly communicate with Property Management regarding any issue that may affect access, the scope of work, cost, scheduling, or completion of an assigned work order.
Vendors must notify Property Management regarding:
- Arrival or property-access issues, including situations where access is unavailable or delayed.
- Work delays that may affect the expected completion date.
- Material, equipment, or parts delays that may prevent or postpone completion.
- Concealed damage, unexpected conditions, or additional repairs discovered while performing the approved work.
- Inability to complete the assigned work for any reason.
- Changes to the expected completion date or service timeline.
- Any condition that may require additional authorization or clarification before proceeding.
- Completion of the work order, including any required photos or documentation.
Vendors should provide updates as soon as an issue is identified rather than waiting until the scheduled completion date.
Vendors must not leave an assigned work order incomplete, abandon a job, or stop work without notifying Property Management and providing an explanation.
When a work order cannot be completed as scheduled, the vendor should provide the reason, current status, any recommended next steps, and an updated estimated completion date.
Failure to communicate timely changes or unresolved issues may result in delays, additional follow-up, or other action by Property Management.
