Self-Guided Inspection Policy for Tenants

Self-Guided Inspection Policy.

Regular property inspections are an important part of maintaining the condition, safety, and cleanliness of rental homes. A self-guided inspection policy allows tenants to complete periodic inspections of their rental property and report maintenance concerns before they become larger and more costly issues.

At Ashoka Lion, tenants are required to complete a self-guided inspection form and submit videos of the front yard, backyard, exterior, and interior of the property so Property Managers can assess the overall condition of the home.

Why Self-Guided Inspections Matter

Self-guided rental inspections help encourage proactive property maintenance and improve communication between tenants and property management.

These inspections are designed to:

  • Identify maintenance issues early before they become significant repairs
  • Help preserve the condition and value of the rental property
  • Encourage tenants to maintain cleanliness and follow lease responsibilities
  • Improve communication between tenants and landlords regarding repair concerns
  • Clarify tenant maintenance responsibilities versus landlord responsibilities
  • Support long-term property care and preventative maintenance efforts

Some maintenance items are considered tenant responsibilities, while others fall under landlord or property management responsibilities.

Self-Guided Inspection Process

Tenants are required to submit:

  • Videos of the front yard
  • Backyard videos
  • Exterior property videos
  • Interior walkthrough videos

These videos must be uploaded through the designated inspection form provided by the management company.

Inspection Frequency

Self-guided inspections are generally required:

  • At move-in to document the initial condition of the property
  • During occupancy twice per year
  • February through March
  • August through September
  • At move-out to assess the property's condition before vacating

Inspection submissions during the scheduled inspection periods must be completed by the last day of March or September.

If the required inspection form and videos are not submitted on time, a property visit may be scheduled by management, which could result in a $75 property visit charge.

Tenant Responsibilities

Tenants are expected to properly maintain the rental property, report maintenance concerns promptly, and provide reasonable access for necessary repairs or inspections when required.

By participating in the self-guided inspection process, tenants help support proactive maintenance, improve property conditions, and assist in identifying issues early — benefiting both residents and property management teams.
